Managing assets on article level

Effective asset management is crucial for maintaining accurate inventory control and optimizing recommerce operations. This guide will show you how to access, update, and track individual assets within the TWICE Commerce platform.

From the individual article page, you can make updates to the article's status, information and track the history of events and usage of that article. To get the most out of TWICE Commerce's inventory, it's important that you keep the information on individual articles up to date.

Accessing Individual Asset Details

  1. Navigate to Inventory > Articles in your TWICE Commerce Admin
  2. Locate specific assets using these filters:
    • Store Locations (for multi-location businesses)
    • SKU Selection dropdown
    • Article Status (In use, Out of use, Lost, Sold)
    • Search bar for keyword searches
    • Column-specific filters (click three vertical dots in the header column)
Tip: Combine multiple filters to quickly find exactly what you're looking for.
The single article page allows you to add information about each unique article in your fleet. You can also track the event and usage history of articles.

Updating Asset Information

Basic Asset Updates

  1. Click on the desired article from the Articles page
  2. On the article details page, you can modify:
    • Allocation (rental vs. sale)
    • Status (in use, out of use, lost, sold)
    • Location
    • Purchase price and date
    • Specifications (size, color, brand, etc.)

Status Changes

You can change the status of an article, for example, when you temporarily take it offline for maintenance. Other options are to mark the item as lost or sold. To change an asset's status:

  1. Select the article
  2. Click the "Status" dropdown
  3. Choose the appropriate status:
    • In Use: Available for rental/sale
    • Out of Use: Temporarily unavailable (e.g., maintenance)
    • Lost: Cannot be located
    • Sold: Permanently removed from inventory
Important: Status changes only affect future transactions. Existing records remain unchanged.

Tracking Asset History

Each asset maintains a detailed history of its usage and rental/sale transactions

To view an asset's event history:

  1. Open the article's details
  2. Select the Events tab
  3. Review the chronological list of events
The article event log shows every transaction event of the article since it was added to your inventory.

  • Regularly audit asset statuses to maintain accuracy
  • Update specifications promptly
  • Use the event tracking to inform decisions about asset lifecycle
  • Implement consistent naming conventions for easy searching
  • Conduct periodic inventory counts to verify system accuracy
