Preparing online bookings for fulfillment

This guide explains how to efficiently prepare and manage online bookings for fulfillment in TWICE Commerce, ensuring smooth operations and excellent customer service.

Preparing online bookings in advance is a great way to optimize the usage of your time and ensure fast customer service for customers who have booked their rentals online.

Accessing and Reviewing Bookings

  1. Navigate to Orders > Upcoming to view all future bookings
  2. Click on any order to view its details
  3. Review customer information and booking specifics
  4. Check for any special requirements or notes

Preparing Orders for Fulfillment

Assign Specific Items

  1. Open the order details
  2. Locate the product list
  3. Click the dropdown menu next to each item or use barcode scanners to input article IDs into the order.

Mark Orders as Prepared

  1. Review all assigned items
  2. Check the "Prepared" box in the right panel when you have inspected, adjusted, and prepared all the items for pick up or shipment.
  3. The order will now display a "Prepared" tag in the Upcoming Orders list

Print Order Documentation

  • For individual customers: Click the printer icon on the customer card
  • For groups: Select the printer icon in the top right corner of the page
Tip: Even for groups, it's a good practice to print out the individual customer confirmations and attach printed documents to the prepared equipment. This helps with the identification of the right equipment.

Best Practices

Organization

  • Designate a specific area or shelf/rack space for prepared equipment
  • Organize prepared items by pickup time/date
  • Attach printed order confirmations to the prepared equipment

Quality Control

Before marking an order as "Prepared":

  • Double-check that article IDs match the order requirements
  • Verify all items are in excellent condition
  • Ensure all accessories or add-ons are included and easily available

Regular Monitoring

  • Review upcoming orders daily
  • Prepare orders in advance when possible
  • Check for last-minute changes or updates

Important Notes

  • Online bookings appear alongside admin and walk-in rentals in the upcoming orders view
  • The preparation process is the same regardless of the booking source — new orders appear on the upcoming orders table from where the staff members pick orders for fulfilment.
